This position is clerical in nature, involving responsibility for juvenile and guardianship matters. The employee is deputized to make legal actions effective for the court to which assigned and assists the Court in the administration of juvenile, guardianship, mental and adoption matters, and to perform probate duties when Register is absent.
No supervisory responsibility.
A. ESSENTIAL FUNCTIONS
Maintains all juvenile and adult Guardianship/Protective Placement, Termination of Parental Rights, Adoption, and Mental Commitment files, all juvenile delinquencies, ordinances, injunctions, CHIPs (Child in need of Protection), and JIPS (Juvenile in need of protection) files and records all documents.
Certifies documents concerning files.
Clerks in courtroom, taking minutes on related files.
Answers main phone, acts as receptionist in office, answers public’s questions.
Prepares files for Judges for all court proceedings.
Obtains court dates and appoints counsel as needed. Generates notices to parties and calendars dates in court records.
Verifies accounts filed by Trustees, Guardians and Conservators.
Responsible to know and practice the Safety policies of the County. Perform all job tasks in a safe and prescribed manner.
OTHER JOB DUTIES
Collects money for filing fees, certified copies and other services.
Prepares Orders to Show Cause and assembles files for Supreme Court on appeals.
Oversees protective placement reviews and take care of necessary paperwork.
Attends Juvenile Seminar once a year.
Fills in for Register in Probate in her absence.
Other related work as required.
EXPERIENCE, TRAINING, QUALIFICATIONS
High school graduate, extra schooling helpful. At least two years legal secretarial experience, preferable with juvenile and probate law. The ability and skill in the use of a typewriter, with a minimum speed of 55 w.p.m., and high degree of accuracy. The ability and skill to use speedwriting or equivalent. Knowledge of Word and Excel. Knowledge of the procedures, laws and regulations governing juvenile, and probate court operation. Knowledge of basic bookkeeping methods. Skill in making mathematical computations accurately and rapidly. Must be able to work independently, be able to prioritize job duties, maintain confidentiality and have good communication skills.
