Administrative Services 5 - Maintenance
Location:County Courthse WR
FT/PT:Part-time 70% - 26-30hrs/week - WRS Eligible

Job Responsibilities:
Deadline:  June 10, 2018; however, first review of applications is May 28, 2018. 

GENERAL FUNCTION:

Provide administrative support to the Maintenance Department.  Perform bookkeeping, prepare vouchers, and record and track maintenance for the department.

SUPERVISES:
No supervisory responsibilities.

RESPONSIBILITIES:

A.  ESSENTIAL FUNCTIONS

1. Perform daily administrative tasks for the Maintenance Department. To act as office receptionist, which includes answering the office telephone or greet visitors and communicate information as needed; or take messages and make appointments as needed.
2. Prepare monthly vouchers using County’s computerized general ledger system.  Post as required.  When checks are completed, mail to appropriate vendor and file original voucher with Finance Department.  Prepare monthly Report on Claims Report.
3. Produce reports and resolutions to be discussed and distributed at monthly committee meetings. Type correspondence, memos, etc., make copies and file documents as required.
4. Attend monthly committee meetings, and take minutes to provide accurate record of public meeting.
5. Assist in the preparation of annual budget and Capital Improvement Plan documents. Prepare annual audit documents and answer audit related questions.
6. Pick up morning mail and deliver afternoon mail to the County Clerk’s office.
7. Maintain Door Access computer program.  Enter and/or remove authorized names in computer for door access. Create access cards/badges for new employees. Run computer reports on a daily basis.  
8. Maintain records on Courthouse and River Block keys. Issue and collect keys as required.
9. Enter Work Orders into the computer and maintain Work Order program. Update equipment tracking software with work order and/or planned maintenance details to aide in capital forecasting.
10. Monitor Building Automation software; report alarms to maintenance technicians. Make minor adjustments as needed.
11. Maintain and reconcile capital asset records of Maintenance Department to include preparing journal entries to record additions, retirements and depreciation.  Reconcile capital asset schedules and inventories to general ledger.
12. Maintain Material Safety Data Sheets (MSDS).
13. Responsible to know and practice the Safety policies of the County.  Perform all job tasks in a safe and professional manner.


B. OTHER JOB DUTIES

1. Manage paper recycling.
2. Serve as backup Purchasing Clerk; issue purchase orders and approve online orders.
3. Other duties as assigned.
Job Qualifications:
EXPERIENCE, TRAINING, QUALIFICATIONS
High school graduate or equivalent supplemented with two to three years of book-keeping experience required.  Experience with Microsoft Excel and Word required.  Ability to work under pressure, independently, prioritize work assignments and pay attention to detail is required.  Demonstrated ability to communicate professionally and effectively with co-workers.  Basic everyday living skills are needed, as is the ability to understand and follow oral and written directions.  Reading, writing, adding, and subtracting is needed for maintaining and creating various reports, data entry and general bookkeeping.
