Intake Coordinator
Location:WC Annex NW MSFLD
FT/PT:Full-time 38.75hrs/week - WRS Eligible

Job Responsibilities:

GENERAL FUNCTION

Primary financial contact for patient/clients entering services at Norwood Health Center and Bridgeway CBRF.  Responsible to perform the patient/client financials admission and discharge functions, explain clients’ rights, maintain, collect and enter all data in to patient/clients electronic health information record. Facilitate Wisconsin State Tax Refund Inception Program for Norwood Health Center. Initiate all prior authorizations for inpatient services.

No supervisory responsibilities.

RESPONSIBILITIES

A. ESSENTIAL FUNCTIONS

  1. Interview patients/clients in person in a psychiatric hospital, Crisis Based Community Based Residential Facility (CBRF) or Skilled Nursing Facility setting for the admissions process to obtain financial billing information and answer questions regarding client rights forms, consent to bill third party payers and hospital/CBRF fees.
  2.  Verify patient/clients insurance payer(s), to include but not limited to Medicaid, Medicare and commercial insurance eligibility in multiple health insurance portals for the purpose of processing service claims.
  3. Initiate authorizations for payment from insurance payers for patient/client inpatient services.
  4. Facilitate the completion of Wisconsin Hospital Association forms upon each patient/clinic admission to the hospital unit.
  5. Perform discharge functions for inpatient stays. Complete all data entry in electronic health information record.
  6. Update and verify patient/clients data, as needed in the electronic health information record.
  7. Balance weekly resident accounts and distribute funds as needed. Monitor and distribution funds from petty cash.
  8. Verify Medicaid eligibility for long term care residents and track resident liability and cost of care. Update data in the electronic health information record.
  9. Maintain and facilitate TRIP (Tax Refund Intercept Program) registration files and correspond with past residents in regards to past due balances. Register approved past due accounts balance with the Department of Revenue TRIP program. Document all changes and payments in patient’s records.
  10. Responsible to know and practice the Safety policies of the County. Perform all job tasks in a safe and prescribed manner.


B. OTHER JOB DUTIES

  1. Perform weekly break coverage duties for front reception area at Wood County Annex – Norwood Health Center
  2.  Filing closed patient records in file storage.
  3. Support the mission, vision, and values of the Wood County Human Services Department.
  4. Any other duties as may be assigned.

 
Job Qualifications:
EXPERIENCE, TRAINING, QUALIFICATIONS

Associate degree in Accounting or Business or similar field with two (2) to three (3) years’ experience working with 3rd party insurance payers in a medical field, is desired. A combination of education and work experience will be considered. Working knowledge of computers, to include a proficiency in Microsoft Excel and other Microsoft Office platforms. Experience with accounting or medical billing software packages is highly desired. The ability to learn and utilize in-house computer programs and any upgrades and changes that may occur is required.   Data entry experience and proficiency using a calculator is required, as is the ability to work independently under pressure, with attention to detail.  Basic everyday living skills are needed, as is the ability to understand and follow oral and written directions and to communicate effectively, verbally and in writing.  Reading, writing, adding, and subtracting is needed for maintaining and creating various reports, data entry, and general bookkeeping.  Demonstrates ability to maintain confidentiality.  This position may require travel to and from off-campus sites.  Individual may use personal vehicle or other means of reliable transportation.
