Legal Administrative Assistant - Probate & Juvenile Clerk

The Administrative Assistant position, under the direction of the Register in Probate, is clerical in nature, assists the Probate and Juvenile courts in the administration of probate, juvenile, guardianship, mental and adoption matters, and involves responsibility dealing with the public and professionals.
No supervisory responsibility.
A. ESSENTIAL FUNCTIONS
Receptionist duties, including, but not limited to: answering telephone, taking messages, filing, transcription, scanning, opening and distributing mail, answering public’s questions.
Assist Register and Juvenile Clerk in maintaining all Probate, Juvenile, Guardianship/Protective Placement, TPR, Adoption and Mental Commitment files.
Clerks in Court, taking minutes and sending Notices. Clerk will prepare files she will be clerking and perform post-courtroom actions on files as directed by Register and Juvenile Clerk.
Arrange for attorneys for Wards, and for juveniles.
Assist guardians and review guardian inventories for filing in Circuit Court computer system. Forward to Register or Juvenile Clerk if needed.
Assemble and mail Guardianship Annual Accounts, Annual Reports, Protective Placement reviews, schedule reviews and index same in Circuit Court computer system.
Assist Deputy Register and Juvenile Clerk verify accounts filed by Guardians, Trustees and Conservators.
Responsible to know and practice the Safety policies of the County. Perform all job tasks in a safe and prescribed manner.
OTHER JOB DUTIES
Collect fees for filing, certified copies and other provided services.
Any other duties as may be assigned.
EXPERIENCE, TRAINING, QUALIFICATIONS
High school graduate, or equivalent; Associate Degree as Office Support Specialist, or Administrative Assistant, or legal secretary is desired; at least three (3) years of verifiable legal secretarial experience with probate and juvenile law preferred. Knowledge of the procedures, laws, and regulations governing juvenile and probate court operation preferred. Demonstrated ability to maintain confidentiality, and to possess a pleasant and professional manner while dealing with the public. Reading and writing is needed to understand information contained in legal documents, filing and taking messages. Typing skills of 55 w.p.m. preferred. Knowledge of basic bookkeeping methods, skill in making mathematical computations accurately and rapidly. Everyday living skills are needed, as is the ability to understand and follow oral and written directions.
Must accurately and efficiently operate a computer and software (Word, Excel, and County required) and to learn any changes that may occur. Basic office equipment used – computer terminal and printer, calculator, copy machine, FAX machine, typewriter, microfilm reader and telephone.
